QHSE / Shared platform features

Modules connected through shared data and responsibilities.

Partners, sites, documents and actions connect in QHSE. Work with shared registers, control access and track who does what, whichever module the activity starts in.

01 / Features

What you do in the platform

Partners and authorised operators

Keep partners and suppliers in a shared register. For authorised operators, record identification details, authorisation number, validity period and scope.

Sites and departments

Define your organisation’s structure and reuse it across modules. Assign users roles and access to the sites where they work.

Authorisations and expiry alerts

For site authorisations, retain the issuer, number, validity period and associated document. Configure how far ahead of expiry you receive an alert.

Contracts and addenda

Link a contract to its partner and relevant project. Each addendum retains its own validity period so you can track the dates of the right document.

Projects, works and clients

Group activities by project, work or client. Keep the context in which contracts and partner data are used.

One shared corrective action register

Link each action to its source audit, incident, quality observation or procedure. Configure action types for your organisation and follow resolution in the same CAPA register.

Owners, deadlines and reminders

Assign the action to a person and set its deadline. Reminders and overdue indicators help you follow what needs to be picked up, continued or reviewed.

Evidence, verification and history

Evidence is required for closure. Verify the result under the configured rules, while history retains changes through the open, in progress, verification and closed states.

02 / Workflow

One finding. One owner. One history.

Corrective and preventive actions (CAPA) bring resolution work together across modules. Each action retains its source, owner, deadline and evidence. Follow the same workflow through to closure.

Choose a step to see what you do in QHSE.

Step 01 / 04

Link the action to its source.

Record an action from an audit, incident, quality observation or procedure. Choose the appropriate action type, owner and deadline.

Next

The assigned person takes ownership and starts resolving the action.

Step 02 / 04

Follow progress and the deadline.

The owner works on the agreed measure. Follow its state, reminders and any overdue work. Changes remain in the action history.

Next

Attach resolution evidence and send the action for verification.

Step 03 / 04

Check the result against the evidence.

The designated person reviews resolution under the configured rules. Attached evidence is required for closure. Verification establishes whether the result meets the required conditions.

Next

Close the action after verifying the result under the agreed workflow.

Step 04 / 04

Retain the complete resolution trail.

Find the source, owner, evidence and history in the same action. Use this information when reviewing an audit, incident or quality document.

Next

At the next review, consult the history retained in the platform.

03 / Working example

How the steps connect in your work.

A pallet-truck near miss is recorded at a site. From the incident, initiate “Training required” and assign an action to an owner with a deadline. The employee completes the course and test; the sheet is generated and signed through the configured workflow. Attach evidence, then the designated person verifies the result and closes the action under the agreed rules.

Evidence supports closure.

Completed training provides evidence for the action. The designated person verifies the result before closure.

ERP / HRIS

Data comes in with a clear purpose.

Choose which data to import, its source system and the modules that use it. Integration follows your organisation’s structure.

  1. Source: ERP, HRIS or an internal application
  2. Fields, imports and update rules
  3. QHSE registers, roles and sites

04 / Questions

Details that help you choose

What does CAPA mean in QHSE?

CAPA stands for corrective and preventive actions. In QHSE, the shared register retains the source, owner, deadline, state and evidence for each action, together with its change history.

When is an action closed?

An action goes through verification with resolution evidence attached. Closure follows the organisation’s configured rules and review of the result by the designated person.

Which deadlines can I track?

Track authorisation, contract and addendum validity, as well as action deadlines. Configure advance expiry alerts for authorisations; use reminders and overdue indicators for actions.

Can I work with multiple organisations and sites?

Yes. The platform supports multiple organisations and sites. Data is separated between organisations and access is assigned by role and site. The log retains who changed what and when.

Can I use registers and actions on my phone?

Yes. Work through a browser on a phone, tablet or PC. The interface adapts to the screen and offers light and dark modes.
